This is an Officer-level position, taking on the role of Treasurer/Chief Financial Officer. The successful applicant will be responsible for tracking and monitoring incoming and outgoing payments, generating monthly reports, and managing the Tower budget.

Hard requirements:

• A background check will be required for this position.
• Must be a legal resident authorized to work in the United States.

Soft requirements:

• Previous experience in an admin job with TarValon.Net is a plus since you'll be working across different departments and closely with the other Officers and Department Directors.
• Previous experience in accounting, bookkeeping and finance is a plus, but not required. What is required is the willingness to learn how to track incoming and outgoing payments, generate monthly reports, file taxes with the IRS, prepare budgets for executive/Board approval.
• This individual will need to be extremely detail-oriented and self-motivated.
• A member in good standing at TarValon.Net for at least 1 year.

**Please note that there is no requirement for Senior Membership for this position; it is more important that you have the financial skills and abilities, dedication, and trustworthiness. If you’ve been a member for 10 months and have all the other requirements, please still apply!

Major responsibilities include:

• Manage accounts payable & receivable including tracking fundraising.
• Preparation of internal financial statements, budgets, cash flow, monthly reconciliations, projections & forecasts for the Officers and Board of Directors.
• Assist event planners (DoE&C, Mistresses of Revels, Official Event Local Liaisons) in developing budgets and financial processes (contracts, etc.) for official events.
• Manage day-to-day administrative tasks and filing of insurance, legal, taxes, and governmental reports as required for US non-profit organizations.
• Supervise internal control processes & provide reports as required.
• Responsible for coordination of the financial annual report.
• Participate with other Officers/Board of Directors in evolving financial processes.
• Assist in financial evaluation of charities for inclusion in TarValon.Net official fundraising efforts.

The tower uses a Google Doc spreadsheet for basic day-to-day and Quickbooks for reporting.

Thinking about this a bit more, I realize that this is definitely one of the roles that can seem super daunting, so I wanted to give more of an insiders view on what it is actually like.

You do not need to be an accountant, tax professional, or money genius for this role. Does it look good? Absolutely! Does the actual day to day work need it? Nope. It's basically using Excel to do simple math.

Why the background check? It's part of the security measures to make sure the person given primary access to our money doesn't have a history of finance crimes or anything that would make them prone to misusing the money.

You need to be able to keep up with the money pretty much all the time. This doesn't mean you'll be busy 24/7, but if something comes up where money needs to be spent or moved, you need to be available to take care of it. So if you have long periods of time you're out of contact, or have a super chaotic life that will drag you away unexpectedly it may not be a great fit for you.

Actual time commitments varies but has some regular highs and lows. Most of the time it's a few minutes here and there to enter expenses and revenues in the spreadsheet. (Some months it's literally 5 minutes total) During event registration periods and fundraisers it's no more complicated, but needs to be watched for money daily (or multiple times a day) to keep the membership up to date on totals and who's paid and confirmed. Once a month is reports which takes maybe an hour to download bank statements and run reports in Quickbooks and save them all to the shared google files. Finally, the month of September is when the books need to be summarized for totals, taxes filled out, and our non-profit status renewed. This can take several hours but is usually doable in one focused weekend.

If anyone has any questions, I'm sure Cahalan will give you her views on holding the job and I will certainly answer them as well. The final decision on who gets hired is up to the Board, but hopefully this will help some who may be sitting on the fence about applying.

Yes, I agree with Cassie's assessment. My stepping down isn't because the job itself is overwhelming or difficult. It's a great way to contribute to the site, especially if you don't want to have a visibly public-facing role.

I am not a financial professional, a tax specialist, or even a bookkeeper. If you can use Excel and other general software, you can do this job. The budgeting aspect is not intensive or complicated, and I would be happy to help with it if you have questions. I know Cassie is, too, since she's also done this job.
