It's that time again - only much more specific!


First, a huge thanks to Jeral and Ennairam for all their efforts in their roles.


Jeral has left the department due to real life being, well, crazy like real life can be! His presence will be sorely missed and both he and I have every faith that the skills he provided to our surveys is found within our community (and possibly the department .)


Enn also has the real life monster breathing down her back, so she is stepping out of her role as Membership Survey Project Manager, but we are lucky enough to retain her services and knowledge as a general staff member.


So, officially the roles of Statistician and MSPM are open! Below are the job descriptions:


Survey Statistician
Summary:
The Membership Survey Statistician handles cleaned data from the Membership Survey and provides breakdown of the data utilizing pivot tables. Data is broken down to to provide basic information (totals) as well as to find possible patterns based on sex, age, location, length of membership, and community group. The reason to review for patterns is to ensure that no particular group is adversely impacted as well as to ensure that there is a consistent understanding of any messages being sent.

Time Commitment:
This position is not labor intensive most of the year, but after the Membership Survey is closed from taking new data can be labor intensive as these results are generally needed in 4-6 weeks. During this busy time it is expected that the Statistician will work approximately 5 hours per week, depending on proficiency with Excel and pivot tables. Slow time frames will require minimal time commitment.

Job Duties:

  • Provide two levels of statistical analysis from survey data - totals, and totals by group. This data should be provided in tabular format. Addition of data in a graphical presentation is not required but would be appreciated.
  • Provide advice on all projects within the department, especially ways to improve the Membership Survey so that it is clear for participants, generates the results requested by Execs, and reduces work for everyone.
  • Other duties as assigned.

Expectations:

  • Confidentiality of both survey data as well as discussions within department forum
  • To meet deadlines as provided, or communicate any difficulties as soon as aware of said difficulty.

Qualifications:

  • Excellent with Excel, specifically pivot tables
  • Experience with Google Drive and related Document types
  • Completed 12 years of education or more (high school, secondary school)
  • Community member in good standing


Membership Survey Project Manager
Summary:
The MSPM is responsible for the planning, execution, analysis, and reporting of the annual Membership Survey. The survey itself can change drastically from year to year depending on what sort of data Execs are looking for; the data is utilized to make decisions at Administrative meetings to strategically plan changes to the community.

Time Commitment:
This position has variable time commitment, which averages throughout the year to 3 hours a week.

Job Duties:

  • Solicit options for a membership question on the survey.
  • Evaluate the prior year survey questions for improvement - wording, paragraph vs scale, etc. Also addition/deletion of questions.
  • Liaise with other departments for updates to the questions in their sections annually.
  • Network with department directors and officers to determine intent behind questions.
  • Either alone or with department staff update Lime Survey software with edits to survey.
  • Liaise with Marketing and/or Community Outreach to prepare graphics and activities surrounding the survey including building anticipation and encouraging participation in the survey.
  • Clean survey data before sending to departmental staff for analysis.
  • Work with department staff, including Statistician (if position filled) to provide an executive summary for the Board and Execs for the Administrative Meeting.
  • Expand executive summary into full report to be provided to membership and archived in the Library. Ideally report would include comparison and trends against past surveys where possible as well as tie results to results of the Administrative Meeting.
  • Other duties as assigned

  • Provide periodic updates to the Director of Administration

Qualifications:

  • Proficiency with Microsoft Office and Google Drive related document types
  • Associates degree or better or relevant experience
  • Community member in good standing
  • Member of 2 or more years

Thanks to the whole department for all your hard work. I had a teeny glimpse of the work that goes into what you all do/have done, and am very impressed by the amount of dedication.
