Starting next year, TarValon.net will no longer have a group of rooms reserved in our name, nor coordinate room arrangements for Dragon*con.

This decision was made in consideration of several factors. These include:
• Each year it becomes more difficult to secure a block of rooms, and there is no process in place to reserve more than one at a time. We have been extraordinarily lucky in the past but there is no guarantee that we will continue to succeed in finding the number of rooms we need, and we don't want to mislead people in thinking we are a guaranteed source for lodging.
• The hotels have begun charging a one-night's deposit due the July before the event. This has significantly impacted our traditional registration and payment timeline in a negative manner.
• The tower runs the risk of losing money through our current process. With the expectation that each room fit exactly 4 people, we can lose money each year if we have a number of attendees not divisible into 4-person groups.

Similar to our approach for JordanCon and also used for 10th Anni, we will facilitate members finding roommates within the site, but reservations and payment of those rooms will be handled by the individual members. Dragon*Con currently remains one of our official events, and we will continue to host an official toast, and facilitate ceremonies such as raisings and bonds at the event.

We wanted to get you this information well in advance of this year’s event so that you can start making arrangements now for 2012. In recent years the hotel blocks have opened in October, but please consult each hotel for instructions on how to reserve your room for next year.

Just a suggestion, but since most of the hotels start allowing reservations to be made for the next year at about the same time, and the D*Con rooms tend to sell out VERY rapily, could we still get some sort of announcement/reminder to go make our own reservations?

plus you have to remember Dragon Con is on the first weekend of the College football season so the earlier anyone can reserve the better. :)

I think a post here in Site Announcements would be sufficient (I at least hope most people skim the thread titles), but if the hotels open up reservations close enough to the end of D*Con, the D*Con forum might still be active enough to work as well and be more focused on the D*Con regulars.

What about reserving a hotel near the DCon hotels, but less likely to sell out. For example, the Hilton Atlanta Airport is still part of the DCon hotels and (as far as I know) serviced by the shuttle bus system into downtown. I *KNOW* we can reserve a block at a place like that (I used to make reservations for the Hilton hotel chains). You can create a group block that can be controlled via a special webpage and will offer a group rate. Have we looked into something like that?

Nymala, it's just really annoying to bus back and forth from the Con to another hotel since most of the toasts/bonds/etc. are made in one of the on-site hotels where people stay, it kinda screws up some people's Dragon*Con plans in terms of what shows they'll see, what panels they go to, etc. Not that I'm any kind of official anything to events here, but that's kinda how I see it.

I understand Addelyn Sedai, but I'm just thinking of keeping a bigger block of rooms together. I stayed off site last year and I'll stay off site again this year. I simply can't afford to stay on site and the way my husband sleeps (badly), the noise of a con hotel would be murder on him. We managed to make it to all the things we wanted to see and do, we just sat down with the events book and blocked out what we wanted to do. *shrugs* It's a matter of determining what's a priority and what isn't. Either you want to stay at a con hotel and play catch as catch can as to whether or not you stay on site OR you have a bigger block of rooms and deal with the minor annoyance.

I think a fair number of us go to Con for the night life, and a few of us are on staff and don't have the energy/time to travel back and forth between satellite hotels. In the end it's my guess we'd have too few people wanting to stay off site to make it worth it. Plus no DCTV.

There's also a simple safety issue. It's not necessarily safe to be out walking by yourself outside of the hotels at 3am. If people want to make that choice for themselves, they can, but I wouldn't want TarValon.Net to be in any way culpable in that.

I think staying at a annex hotel is a fine option, and would work well for some people. I also thing there are others that it would absolutely not work well for. Our original intent of the block of rooms was to leverage our scale, strengthen our community and support the presence of a Wheel of Time programming track by staying in close proximity. Since these objectives are not really attainable any more through a block of rooms, we're going to let individuals find what works best for them, and still try to utilize the opportunity to get together as a community.
