The Events team along with the Keeper and Amyrlin met to discuss the recommendations that came from the COVID focus group. We would like to thank everyone who participated in the focus group for their time and suggestions.
Below is a list of items that we are implementing for Spring Fling, and some items that are being planned for future events. This list is still fluid and items that are not listed here may be added at a later time, or items that are currently listed may be modified based on each event going forward.
To be immediately implemented at Spring Fling:
Below is a list of items that we are implementing for Spring Fling, and some items that are being planned for future events. This list is still fluid and items that are not listed here may be added at a later time, or items that are currently listed may be modified based on each event going forward.
To be immediately implemented at Spring Fling:
- This is a hotel-based event. All members will be expected to arrange their own rooms and will be given a link to make their own hotel reservations. This puts the ability to decide how many people, and which people share a room directly in the hands of each member attending. A thread will be arranged for people who need help to find potential roommates.
- Masking will be required when large groups are together in the common room. Anyone who is able to wear a mask will be expected to mask up whenever large groups are in the common room together.
- Hand sanitizer and a mask will be provided in your welcome bag.
- Vaccinations WILL NOT be mandatory for attendance, but will be strongly encouraged for all of our members who are able to vaccinate.
- Based on the recent instances of COVID tests not showing a positive result until some period AFTER symptoms are present, we WILL NOT be requiring attendees to test prior to their arrival at the event. Again, it's encouraged, but not required. This decision leads to the following items:
- Any member who is ill should not attend the event! Event tickets paid to the Tower will be 100% refundable for illness related cancellation. This policy will continue for the foreseeable future.
- Anyone who feels ill after arriving at the event will be asked to mask regardless of COVID test results (a negative test at symptom onset will not remove masking requirement).
- The current goal is to move all events to a hotel setting or a corporate retreat setting to allow for flexibility in room arrangements (either through individual booking, or through room buy-out options).
- The setting change is to allow us to move away from large cabins/rooms with a lot of people, to smaller spaces with fewer individuals per room/cabin.
- If possible based upon the location selected for Anni, there is a goal to make meals cafeteria style instead of the previously used buffet style. This will limit food and utensil handling to a small number of people who can be masked and gloved during the process.
- Due to the different formats, plans for Euro will be addressed for each event.
