We are sad to see Erin go, but we are grateful for all the work, both front facing and foundational, behind the scenes, that she has done. With her well-earned rest comes the need to hire a new Keeper.

ALL applications for this position will be considered, whether the applicant meets every listed requirement or not. The requirements are best used as a tool to understand the expected needs of the position, not as a strict cutoff for consideration. Hiring the right person for the role is more important than a checklist.

The Keeper of the Chronicles is an Officer position along with the Cordamora, the Shatayan, and the Archivist. The Keeper works closely with the Amyrlin and the Cordamora to ensure the administration is focused on enacting the vision of the organization as a whole. The Keeper, Amyrlin, and Cordamora have individual responsibilities, but they are a close team working to keep the community running. Applicants should expect to have regular, frequent contact with the Amyrlin and Cordamora while carrying out their Keeper duties.

Legally, the Keeper serves as Chief Operations Officer and fulfills the duties outlined in the Bylaws for the Vice President of Operations. The Chief Operations Officer is responsible for ensuring site operations are efficient, effective, and coherent.

The Keeper directly oversees the Director of Communications and Media, Director of Events and Conferences, Director of Moderation, and Director of Technology. The selected candidate will support these Directors by enabling them to take ownership of their departments. This support will likely take different forms—answering questions, setting department deadlines, holding one-on-one conversations, etc.

Duties and Responsibilities

  • Ensure the administration is focused on enacting the vision of the organization as a whole.
  • Regularly interface (sometimes daily) with the Amyrlin and Cordamora to ensure alignment of vision for all departments.
  • Work with reporting Directors to ensure their Departments are moving towards the goals of those Departments as well as working together to provide a cohesive experience for members.
  • Serve as the main point of contact between reporting Directors, and the Officers and Board of Directors.
  • Step in and temporarily perform any overseen position's duties.
  • Complete a lot of paperwork and administrative oversight including reading and responding to monthly reports, talking with Directors on a regular (sometimes daily) basis, answering phone calls and texts and emails in a timely fashion and having regular online meetings.
  • Report to the Board of Directors annually, and at other requested times.

Expectations
  • Must be willing and able to spend at least 15-20 hours per week on the position.
  • Clear, effective communication.
  • Erin will provide training for the new Keeper to ensure the transition is smooth and to equip them with the tools they need to bring their vision to fruition.

Qualifications
  • Must currently be a Senior Member in good standing.
  • Must have been Tower Sworn for at least two years.
  • Must know how to use tactfulness, discretion, and diplomacy.
  • Must have previously served in the administration in some capacity.
  • Must be active within the community.

Officer Hiring Process
  1. Gather applications.
  2. Evaluate applications and extend interview invitations.
  3. Interview selected applicants. One or two interviews is standard.
  4. Evaluate the interviews and select the successful applicant. (This can take some time, not hearing back immediately is not a sign that you were not selected.)
  5. Offer position to selected applicant.
  6. Once the position has been accepted, inform the other applicants.
  7. Announce our new Keeper of the Chronicles, begin training, transfer permissions, hit the ground running.
