    This post is the beginning of the hiring process for the position of Keeper/COO of TarValon.Net.

    Description:

    The Keeper of the Chronicles, legally known as the Chief Operations Officer, handles the duties as outlined in the Bylaws for the Vice President. The COO is also responsible for running the administration and making sure that it is efficient, effective, and coherent.

    Requirements:

    What matters:
    • Must currently be a Senior Member in good standing.
    • Must have been a Senior Member for at least two years.
    • Must know how to use tactfulness, discretion, and diplomacy.
    • Must have previously served in the administration in some capacity.
    • Must be active within the community.
    • Must pass a background check, as this position has fiscal responsibilities.
    What doesn't:

    Duties and Responsibilities:

    Officers are responsible for a broader, more nebulous set of things that don't lend themselves well to a bulleted list. The Keeper/COO is the front face of the administration within the administration and is responsible for making sure that the administration is focused towards enacting the vision of the organization as a whole. This position works with assigned Directors to make sure that the individual Departments are moving towards the goals of those Departments as well the community as a whole while working with the other Officers to provide a cohesive experience for our members.

    The Keeper should have strong leadership skills. This position is responsible for team-building between the Directors, and supporting them while they support their Administrators. You will be asking them what is working and what is not, what could be better, what they need help with and what they need to do their job more efficiently and effectively.

    This position involves a lot of paperwork and administrative oversight, so organizational skills are important. The Keeper adapts existing processes to create efficiencies, to fit change, and creates new ones to fill in the gaps as needed. It’s your job to know how what one team is working on affects other teams and to coordinate that work so it all gets done efficiently.

    What does this position look like? It's reading and responding to monthly reports; it's talking with Directors & Officers on a regular (often daily) basis, it's answering phone calls, Facebook Messages, forum PMs, texts and emails in a timely fashion; it's regular meetings on Google Meet; it's accepting that there will be times when you will be spending more hours than you thought you had in a day working on emergencies; it's being willing to step in and perform any position's duties temporarily.

    The Keeper serves as the Amyrlin’s right hand. Sometimes the Keeper must step in and be the go-to person of the administration instead of the Amyrlin. As Keeper, you will have access to privileged information, most of which you won’t be able to share; therefore, discretion is key, and the ability to discern what can be shared is essential. Sometimes this means members won’t understand your actions, and you need to accept that you can’t share all the details that may change their mind. You have to be able to say no, and not take criticism and negative feedback personally.

    This position requires a constant, active presence. Expect to spend 15-20 hours a week actively engaged in Keeper duties, though some weeks it will be less and some weeks it will be more. Applicants must have access to their own electronic devices capable of online communications and reliable utilities (especially electric and internet services). Travel may occasionally be required, though that happens rarely.
