Looking for bids: Artisan to design and produce banners for 20th Anni

Calling all talented designers and those who can sew. It has been many years since we’ve reached out for official banners for our Community, but with 20th Anni less than 2 years away, the time has come!


I’ll tell you upfront, that we aren’t looking to hire immediately. Rather, we’d like to have people make a bid to us. We aren’t looking for volunteers, we’re looking to pay people for the materials they use and also for their time. We will be wanting to put a contract in place to ensure that the work is done. This is to both protect the artist, as well as to be good stewards of the funds that we will be committing to this project to ensure that it is done beautifully and on time.


So how do you bid? And what should a bid from interested parties include?


How: email with the subject line “TARVALON.NET BANNERS - YOURNAMEHERE” Send it to: officers@tarvalon.net, events@tarvalon.net, and naevents@tarvalon.net. The email should include the following:

  • A design. Tentatively, we’re talking 11 Ajah and Company banners. We’re also looking for a banner incorporating our official TarValon.Net logo. That is a very basic start and there will be conversations between the artist and our officers, along with other invited opinions (likely members of the board) to make sure that what we have produced is what we would like to represent our organization.
  • A budget. Think very carefully about the type of materials you would potentially use and how much they cost. How much will you need to spend on thread, needles, etc. Please give us a breakdown of costs that you can see (including YOUR TIME!), and be realistic. Again, we are *not* looking for this to be a donation, but a business transaction because the amount of work is a lot.
  • A timeline. How long do you think it would take you to complete the project. Will you be able to do it on your own, or will you need assistance? Again, try to be realistic, we understand that this is going to be a bit of guesswork, but overestimate and take a hard look at your life and commitments before you say you can have this done in 3 weeks :P


We will accept bids from interested parties through January 15, 2020. To make sure that we don’t miss anything though, if you are intending to put in a bid, could you please email myself and Melisande in advance to let us know that you’re putting something together? A few other final points:

  • We fully recognize how large this project could/will end up being - so if you and another (or more) artist would like to collaborate on the project then please bid together!
  • Also, if you yourself aren’t artistically inclined but you know someone who is and think they might be interested please have them email us as well so we can chat. Like I said at the beginning, we aren’t looking for a donation of time and materials here - we want something that is beautiful and that will last for many years going forward that we can display again through 25th Anni and beyond!
  • Also to that point, on a practical note, these banners will need to stand up to wear and tear and travel. Since we have different people on decorations every time, it’d be good to have something easy to hang, that won't require a huge amount of work to keep clean.
