Usually, we open up a forum for the Spring Executive Meeting notes, but this year we had such a short agenda, and not a lot that's discussable (thought I'm sure you'll prove me wrong, oh Tar Valon <3), that we're just doing one thread. If need be, I'll split it out so discussions are linear, but for now, let's try this.

Merits

A proposal was received that community group-specific roles deserve recognition. These are unofficial roles, and do not have the moderator powers that the official role of Heart or Honor Guard have. Though the workload can be substantial, it is not even across groups, and we felt that a merit specific to these roles wouldn’t be appropriate. However, we think recognizing contribution within a community group is a good thing.
We concluded that this is best done by once a year asking the Heads of Ajah/Company Commanders to nominate someone from their group to receive the Award/Merit. This would be a Silver Merit that does not become Gold if earned more than once. It would be eligible to contribute to the Alchemist Merit.


Marketing

Everything is ready for the new Director of Marketing to jump in. Most of JordanCon marketing planning is done, though some is waiting for the new DoMark.


Events

Anni was a success! Huge kudos to Viv, who served as Local Liaison and Mistress of Revels. The raffle went well and seems better than da’covale; we'll likely continue doing the raffle/silent auction style of fundraising.

Several sites are being considered for Anni next year, and we'll have an announcement as soon as we're able.


Technology

Forum Software
New forum software is being tested. There are a lot of good things about the new software, huge improvements over vBulletin. Mendo will be making a post soon regarding the good...and the less good. The current theme will probably not import directly, but a new one is being prepared. (New shinies!)

IRC
IRC replacements are being considered. The likely choices are either our own server or Discord. There are privacy issues with Discord, as the Terms of Service allows data mining. We will investigate to see if there are any potential liability issues for the Tower. Discord also has text permanence, which has both advantages and disadvantages.

Voice Chat
We discussed a voice chat, and Mother in particular is nervous about it, but could be convinced. No specific plans to institute voice chat right now.


Research and Records

Annual Report
We're waiting for one section, which will be turned in this week. Next year, there will be a hard deadline of March 1 so the report can be released in the first quarter.

Membership Survey
We plan to have a focused, trimmed down Survey this year. (You're welcome Cahalan.) The current aim is to open it June 1.

Looks good, I like the idea of that new merit and can't wait to see what the new forum software looks like :)

For the IRC, could it be own server AND discord instead of OR? I think that would be cool as I prefer irc but I know others like the new fangled things like discord :giggle

Did Exec examine Slack as an option to replace IRC? White has been using Slack and it's really convenient.

We did, yes, and we're not going that direction because we want to preserve chat as an engine for recruitment. With Slack, you can have a publically visible channel, but anyone who wants to participate has to be invited, so there's not the "jump right in" air that exists with our current IRC offerings.

This is why other communities I am part of have opted to avoid Slack. The invite-only thing really is painful.

I am SUPER happy that Discord is being reconsidered. <3

If you are doing this, then it just should be for fun. Not for official stuff. If it will be for official stuff, then the texted version should be available somewhere. You know, access for everyone ;)

Imzadi, that's the direction we'd go (if we decide to have one). It would be opt-in, and it would have more a feel of a live event, with minimal moderation (hence the opt-in, and requirement to be 18+).

Why not buy a Team Speak Server? They almost cost nothing and you have a lot of options for allowing people into different channels without registration. Groups could have their own channels, admins too, etc.

So this will be a thing.
I even worked out the first set of winners and convinced myself they had been posted.
Basically, it will require several different silver merits of the kind that don't become gold, in different general categories and no more than one of each.

Why not buy a Team Speak Server? They almost cost nothing and you have a lot of options for allowing people into different channels without registration. Groups could have their own channels, admins too, etc.

Because Discord is better in every way (it can do all that with more permissions and a friendlier interface), and free.

Discord was designed from the ground up to be the ultimate communications network for gaming groups. It has, thus far, lived up to the name.

Discord, as of right now, is voice and text chat. I believe, in the future, there might be video chat implemented as well. :cheeseeni:
