Further to the Spring Admin notes we are opening a bidding process for events in Britain and Ireland and Europe for 2015! We are trialling a new option, allowing you to bid for either a Fall Ball or traditional Euro style event.

What does that actually mean??
When: The event will need to last from Friday to Sunday but there is no restriction on the time of year, however you need to tell us when would work best and avoid Fall Ball / Anni timings where possible.
Where: You will need a location and accommodation options; whether that is a hotel, hostel, barn or bunkhouse it doesn't matter because we will look at them all. We do need to make sure there is some kind of communal space (i.e a living room or a meeting room)
How do we get there: Is there a local international airport, can you get there by train or will it take lots of buses and a taxi?
How much: This is a huge question as you will need to consider: flights for international attendees to the nearest airport, how much the accommodation would cost, how much food will cost and how much activities will cost.
How are we eating: Are we cooking for ourselves, is it all included or will some meals have to be purchased whilst out on a trip.
What activities could we do on site or nearby and what would you like us to do?

We don’t need you to be experts, obviously that’s the responsibility of the Department of Events and Conferences to work through as a whole but we do need you to help us make the right choices by providing as much detail as you can.

If you would like to bid on a location for our 2015 events then please send an e-mail titled 2015 Britain and Ireland / European BID to events@tarvalon.net, bievents@tarvalon.net and officers@tarvalon.net. Bids need to be submitted by 14th June 2014.

Things to keep in mind when submitting a bid:
If your bid is selected, YOU will be an integral part of the planning. By making a bid, you are volunteering to be part of the Department of Events and Conferences for the duration of the planning and execution. You will be expected to do a lot of the leg work to find accommodation, local activities, and transportation options.

Please include as much of the the following information as you can in your bid

When would you consider holding this event
Location
Personal experience with the area
Why you think the location would be our best option

Location
Overview & details
Activities (fairs, museums, sites, and other touristy things to do in the area)
Accommodation Options (URL, Phone Numbers and Pricing)
Transportation (Major Airports in the area, options for people to get to the accommodation)
Suggested Pricing
Food
Activities

Support
Point of Contact - Who would serve as local liaison for the event?
Other – additional Tower volunteers who will help facilitate event

Consider the following questions in your narrative overview:
Approximately how far are potential locations from major airports?
How much is the bus/shuttle from the airports, and what are the hours of operation?
How much, approximately, are flights from a few major airports (London, Barcelona, Paris, Stockholm).
How much can members expect to budget for some of the extra activities that might not be included in the ticket price

Remember - this is just a guideline - please feel free to send us more information if you have it! There is no such thing as "too much information" when it comes to submitting a bid.
